Privacy Policy

Data collection

When you use Prooflo, we collect the following information: your email address (to identify your account and deliver your edited file), payment details processed by Stripe (we never see or store your card number), and your thesis file, which is uploaded temporarily for processing. We also record the word count of your submitted document for billing and audit purposes.

Data processing

Your thesis file is sent to Anthropic's API for language editing. We use Anthropic's Zero Data Retention (ZDR) agreement, which means Anthropic does not use your content to train its models and retains no copies of your file after processing is complete. Your thesis content is not stored on Prooflo's servers beyond the duration of the editing job. All files are deleted within 24 hours of processing completing.

Data retention

We retain the following data indefinitely to support your account and comply with financial regulations: your email address, a payment reference number from Stripe, and the word count of your submission. We do not retain the content of your thesis after the edited file has been delivered to you.

Third parties

We share data with the following third-party services only as necessary to provide the service:

  • Anthropic — processes your thesis file under a Zero Data Retention agreement.
  • Stripe — handles payment processing. We do not store card details.
  • Vercel — hosts the application. Your data is processed in their infrastructure.

We do not sell, rent, or share your personal data with any other parties.

Your rights under GDPR

If you are based in the UK or European Economic Area, you have the following rights regarding your personal data:

  • Access — you may request a copy of the personal data we hold about you.
  • Rectification — you may ask us to correct inaccurate data.
  • Deletion — you may request that we delete your personal data, subject to any legal obligations we have to retain it.
  • Portability — you may request your data in a structured, machine-readable format.
  • Complaint — you have the right to lodge a complaint with your national supervisory authority (in the UK, the Information Commissioner's Office at ico.org.uk).
